The Order Operation Expert will process, monitor and coordinate all activities related to the order pipeline and short-term demand planning. Along with your colleagues, you provide training's and guidance to your stakeholders to increase their understanding of the sales order process and procedures.

About the job
Your job as the Expert Sales Order Operations
Your responsibilities can be divided by Order Management (55%), Short term demand planning (35%) and Process & system optimisation (10%). You will mostly monitor the daily order pipeline, ensuring timely and accurate order processing. You act as the primary contact for order-related communications, handling complaints, and escalations efficiently. You ensure Regional Distribution Centres are stocked according to business rules and sales plans and generate reports on back orders, analysing reasons, and implementing actions to maximise sales. Key responsibilities include:
- Coordinate with the shipping team on pre-planned shipments and process outbound cancellations promptly.
- Issue credit and debit notes and provide additional support for sales order requests, changes, and returns.
- Assess weekly risks associated with order fulfilment based on stock levels and sales plans, and communicate results to General Managers.
- Align with the sales team to ensure fair stock allocation and identify potential conflicts.
- Manage monthly allocation items with international partners, communicate product availability, and implement system limitations for critical items.
- Resolve weekly/monthly order interface issues and blocked deliveries promptly.
- Monitor and report system outages to internal IT teams, aiming for continuous process optimisation.
- Collaborate with internal departments to improve customer satisfaction and system performance.
Your workplace
You'll be part of the Sales Support Center, working closely with a team of professionals dedicated to delivering exceptional sales backoffice services across 18 subsidiaries and over 60 international partners. The team is led by the Team Lead Sales Order Desk, and together, you'll strive to exceed customer expectations through process optimisation and effective communication.
What do you bring to the table?
You are analytically minded and enjoy working in a customer focused role where you continuously consider process optimisation and customer satisfaction. You have strong communication and interpersonal skills that allow you to work well within a team as well as independently. You are detail-oriented and can share your analysis with both your colleagues and stakeholders. Furthermore:
- Previous work experience in a similar position e.g. Order Operation and/or Short Term Demand Planning.
- Solid knowledge of order processing & monitoring using SAP system.
- Experience using a ticketing system or software.
- Excellent (proven) knowledge of data analytics & advanced Excel functionalities such as Pivot Tables and Power Query.
